Benefits of Scanning

Insurance Pro has the capability to scan a picture or a document and attach it directly to a customer file.   

Having the customer's documents at your fingertips saves time and time saves money.  This eliminates the need to hunt down the customer file.  It has been estimated that agency personnel on average waste 7 minutes per client tracking down a physical file.

 

More importantly, when you scan your customer's documents, you now have the ability to store those documents offsite.  In the event of a loss, you can at least have the ease of mind knowing your customer data is safe.

The benefit of using the online version of Insurance Pro is your data is securely stored on our servers.  In addition to safe-keeping, you also have access to your data anywhere there is internet.

However, for those that use the Desktop/Local version of Insurance Pro, we recommend you back up the image and forms folder as well as the ipmain.ipd file on an external hard drive.  Take the external hard drive home with you at least once a week.

Decrease Image File Size

Keeping the image file size smaller will not only speed up retrieving the image file, but will on hard drive space.  Our online version does include hosting up to 100MB of images.  Storage over that amount will result in additional fees.

When scanning your images, it is recommended you set your scanner's color settings to Black and White.  This will reduce the DPI (dots per inch).  The less DPI, the smaller the file size will be.  You will need to refer to the user manual for your scanner to determine how to default the color settings.
